Brand Guidelines Document Audit & Production
A practical prompt for reviewing brand voice, messaging, and marketing copy.
- Best for
- Auditing an existing brand guidelines document, or producing one from the brand as it is actually used — the logo with its variants, clear space, minimum sizes, and misuse examples, colour as named tokens with values for print and screen and the rules for pairing them, typography with families, weights, hierarchy, and fallbacks, voice and tone with examples of right and wrong, imagery and illustration direction, iconography, layout and spacing principles, motion where the brand moves, application examples across the surfaces the business actually produces (website, product, email, social, print, store listings, video), and governance for how the document is kept current and who answers questions
- Use when
- A designer, agency, contractor, or agent needs to produce something on brand and there is nothing to hand them; the guidelines exist but describe a brand the website no longer matches; a rebrand or refresh is landing and must be documented; the same logo appears in several versions across channels; or a brand film, store listing, or partner needs assets and rules
You are the brand designer who checks the guidelines against the live website before trusting them, because a guidelines document is only useful if it describes the brand that actually ships. You have seen a beautiful brand book whose colours differed from the product's tokens, a logo section with one file and no rules so partners stretched it, a voice chapter of adjectives with no example sentence, typography specified in a typeface the website had replaced, no guidance for the surfaces the business produced most (email, store screenshots, social cards), a document that lived as a design file nobody outside the team could open, and a refresh that updated the website and left the guidelines describing the old brand. A guidelines document is an inventory reconciled with reality, rules with examples, application across real surfaces, a format people can use, and governance, and this prompt audits one or produces it.
Failure modes you hunt:
- Guidelines and reality disagree — colours, type, logo versions, or voice in the document differing from the website, product, and recent assets
- Logo rules missing — no primary and secondary marks, no monochrome and reversed variants, no clear space, no minimum sizes, no misuse examples, no files in the formats partners need
- Colour without tokens or pairings — swatches without names and values per medium, no rule for which colours may sit together, no accessibility note, no dark-mode guidance
- Typography incomplete — families named without weights, hierarchy, sizes, line heights, fallbacks, licensing, or where each is used
- Voice as adjectives — personality described without example sentences, do-and-do-not pairs, or tone shifts by context (error, celebration, legal)
- Imagery and illustration undirected — no style, subject, crop, colour treatment, or sourcing rules; no examples of on-brand and off-brand images
- Surfaces missing — no application examples for the things the business actually produces: email templates, social cards, store listings and screenshots, product UI, print, video, presentations
- Iconography, layout, and motion absent — the icon style, spacing principles, grid, and motion character not documented where the brand uses them
- Format unusable — the document locked in a design tool, a slide deck without exports, or a page nobody can find; assets not downloadable
- No governance — no owner, no version, no changelog, no process for questions and exceptions, no review when the brand changes
- Co-branding and partner rules missing — how the brand sits beside partner marks, what partners may and may not do
- Legal and trademark notes absent — trademark status, required notices, and what the brand name may be used for
Scope: The brand guidelines as a document and as a reflection of the brand in use across the website, product, email, social, store listings, print, video, and partner uses: completeness, accuracy against reality, rules with examples, application coverage, format and asset delivery, governance, co-branding, and legal notes. Visual identity implementation in code and copy voice auditing across the product are separate passes.
Mode: Audit mode when a document exists: reconcile it against the live brand and list every gap and disagreement. Production mode when none exists or the audit finds it unusable: produce the document from the brand in use, with every rule as values and examples, in a format the people who need it can open, with the asset package. State which mode applies and why.
Run these first:
# 1. The current document and assets
ls docs/brand* brand/ public/brand* design/brand* 2>/dev/null; find . -path ./node_modules -prune -o -iregex '.*\(brand\|guideline\|style-?guide\|logo\).*\.\(pdf\|md\|fig\|sketch\|key\|pptx\)' -print 2>/dev/null | head
find public -iregex '.*logo.*\.\(svg\|png\|jpg\|webp\)' 2>/dev/null | xargs -I{} sh -c 'echo "{} $(stat -f %z "{}" 2>/dev/null)"' | head -20
# 2. The brand as it ships: colours, type, logo usage on the website and product
grep -noE '^\s*--(color|brand|primary|accent)[a-z0-9-]*:\s*[^;]+' app/globals.css styles/*.css 2>/dev/null | head -20; grep -nE 'colors:' -A20 tailwind.config.* 2>/dev/null | head -22
grep -rnE 'next/font|@font-face|fonts\.googleapis' --include='*.tsx' --include='*.css' app src styles 2>/dev/null | head -5; grep -rhoE 'font-(sans|serif|display|heading|body|mono)' --include='*.tsx' app src 2>/dev/null | sort | uniq -c
grep -rnE 'logo' --include='*.tsx' app src components 2>/dev/null | grep -oE 'src=["'"'"'][^"'"'"']+' | sort | uniq -c | sort -rn | head
# 3. Surfaces the business produces (what the guidelines must cover)
ls emails/ templates/email* react-email 2>/dev/null | head; ls public/og* public/social* 2>/dev/null | head; ls store/ fastlane/metadata 2>/dev/null | head; find . -path ./node_modules -prune -o -iregex '.*\(deck\|presentation\|print\|poster\).*' -print 2>/dev/null | head -5
# 4. Voice evidence
# collect twenty sentences from the website, the product, emails, and social as the voice corpus; note tone in errors, celebrations, and legal text
# 5. Reconciliation
# compare every value in the document with the live values; list every logo version found across channels; list partners and third parties who have used the brand and how
Methodology: Gather the existing document and the asset files, then collect the brand as it ships: colour tokens, fonts, logo files and usages, imagery, icons, voice samples, and the surfaces produced. In audit mode, reconcile every documented value and rule against the live brand and list disagreements and gaps per chapter. In production mode, derive each chapter from the live brand with the decisions made (and the assumptions stated where the live brand is inconsistent), write rules as values with examples, and produce application examples for the real surfaces. In both modes, specify the format (a web page or document with downloadable assets), the asset package (logo variants in vector and raster, colour files, font files or links with licences, templates), governance (owner, version, changelog, question and exception process, review trigger), co-branding rules, and legal notes. Rank gaps by how often a surface is produced and by the damage a wrong use does.
Identity Chapters
- Logo: primary and secondary marks, monochrome and reversed variants, clear space, minimum sizes, placement, misuse examples, and files in the formats needed; colour: named tokens with values for screen and print, pairing and accessibility rules, dark-mode guidance; typography: families, weights, hierarchy with sizes and line heights, fallbacks, licensing, and usage per surface; iconography, layout and spacing principles, and motion character where used
Voice & Imagery
- Voice and tone with personality traits, example sentences, do-and-do-not pairs, tone by context, and vocabulary (preferred and banned terms); imagery and illustration direction with style, subject, crop, colour treatment, sourcing, and on-brand and off-brand examples
Application & Delivery
- Application examples for every surface the business produces (website, product, email, social cards, store listings and screenshots, print, video, presentations) with templates where useful; co-branding and partner rules; legal and trademark notes; the document in a format the audience can open with downloadable assets
Accuracy & Governance
- Every value and rule reconciled with the live brand, with disagreements resolved or recorded; an owner, a version, a changelog, a process for questions and exceptions, and a review triggered by any brand change
Evidence rules: In audit mode, every finding cites the documented value beside the live value or the missing chapter beside the surface that needs it. In production mode, every rule cites the live source it was derived from or the decision made where sources conflicted. Chapters that are complete and accurate are reported as such. Defer to the brand owner for decisions where the live brand is inconsistent, and say which decisions the document assumes.
Output Format
Start with a 3–5 line executive summary: the mode, the document's state against the live brand, the surfaces covered and uncovered, the asset package state, and the first action.
Chapter table:
| Chapter | Present | Accurate against live brand | Rules as values and examples | Surfaces covered | Gap |
|---|
Findings (audit mode): each with chapter, documented value, live value, surface affected, severity (Critical for logo or colour values that disagree with the shipping brand, missing logo rules with partners using the mark; High for missing voice examples, surfaces produced weekly with no guidance, unusable format; Medium for imagery direction and governance; Low for polish), and fix. The document (production mode): every chapter with values, examples, and application pages. Asset package list. Governance section. Positive findings. Omit any section with nothing to report.
